Complete List of who to Notify when Moving Office
Office moves can be stressful enough without vital postal correspondence going astray. That’s why it’s important to stay on top of address changes. We recommend keeping a complete list of all the companies you need to notify and working through it methodically. Getting this right will keep your post flowing efficiently after the move, and help to avoid any costly communication delays.
It’s also worth setting up a postal redirect service with Royal Mail to catch any post sent to your former address. Here are our top tips on which companies and organisations to notify when moving office.
Employees and Clients
Your employees and clients are highly valuable and deserve to be kept in the loop. Ensuring employees know the right address for your new office will help ensure they navigate their way to work without issue. The same goes for clients. Why not share a simple change of address e-card or an email with the address and a map?
Banks and Credit Cards
Advise your bank of your new address, ensuring they change the address of both your business bank account and company credit cards.
Utilities and Telecoms
Having fully functioning water and energy services in place on the first day is fundamental. This means notifying your gas, electricity and water suppliers of your new address as soon as possible and making any necessary changes to your account details. Similarly, getting your internet connection up and running rapidly is all important. Communicate the change to your telephone and mobile network providers, as well as your IT support company.
Tax and Insurance
Make sure that HMRC knows where to find you. And ensure that all your company and employee records are updated with the new address. With real-time PAYE coming into force this year, it’s vital that employee data is up-to-date. If you have a company pension provider, advise them of the new address too.
Office Supplies and Subscriptions
Make sure all your office and IT supplies continue to arrive on time by promptly getting in touch with key suppliers. Change the address registered for any magazine subscriptions and online store accounts you may have.
