As with many major project, setting a deadline can really help focus the mind, and it is no different when planning an office relocation. Establishing key dates should be one of your first priorities, because it will give you a clear timeframe and will also mean you’ll be able to minimise any disruption when moving your office between locations. Of course, it’s not always a case of plucking a date out of the air. There will be contractual aspects that you need to consider first, such as your existing lease expiry date and the date your new office will be available on. You will also need to check the availability of your office removals company so that it coincides with your preferred moving in date.
Choosing a moving date
Before you start looking for new office premises, you should check your office lease expiry date and how much notice you need to give. It is important to serve correct and timely notice to avoid any costly and legal dispute with your landlord. Once you have secured new premises, your move should coincide with when all the fit-out and technical infrastructure has been set up in the new office and it’s ready for occupation. If you need more time to get your new office set up, ask your existing landlord for a few weeks or month extra to ensure that your business doesn't lose any valuable operation time.
Communicate the moving date
In order for everything to run smoothly, you need to communicate key dates to all parties involved in the relocation. This will include your removals company, office fit-out company, solicitor and IT and telecom providers – as well as your staff and clients. Once they are clear about your timeframes and deadlines, they will all be able to work better together to ensure that the move happens on time and everything goes according to plan.
