Office Move Day Reminders
An office move day is likely to cause a lot of disruption and chaos to your business. By doing as much pre-planning as possible prior to the day itself, will help everything run more smoothly and eliminate any inconvenience or disruption to your business. Here’s a quick reminder of all the tasks and items to consider on the day of the move that you can use on office move day as a Checklist.
-
New Office
Access
Have you arranged sufficient access to the building so that your removals company can unload the removals van without too much inconvenience to them, and other tenants?
Staff
Make sure staff have directions to the new office and know where to park. They also need to be allocated new entrance cards/keys to the new premises.
IT and Phones
Have all IT and phone lines been tested prior to equipment arriving? This can cause serious delays if voice and data cables have not been properly tested. Work with an IT & Telecoms Company to make sure the IT infrastructure has been correctly installed and thoroughly tested.
New Seating Plan
Do your office removals company have a finalised seating plan of the new office? It helps to have a copy pinned on the wall in strategic places in the new office so that the removals men can clearly see where desks and boxes are to be placed and unloaded.
-
Existing Office
Utilities
Have you given sufficient notice to all utility providers? Allow a few days of electricity and water service after you have moved out so the property can be cleaned and any dilapidations can be carried out during this period.
Dilapidations
Schedule in enough time to complete dilapidations. Some of the work can be done in the last few weeks of occupancy in your existing office, but be mindful of the disruption this may cause. Most of the major works need to be carried out after you have moved out by an office fit-out company.
Property Handover
Arrange a handover of the property with the landlord. This will usually involve an inspection by the landlord, or their representative so that your rental deposit can be returned.
Supervise Packing / Unpacking
Have a representative from your organisation in each location – one supervising the packing and loading and the other at the new office supervising unloading and unpacking. This will help direct your office removals company and help answer any questions they have about where things are to be located.
