Office Space Selection Process
Whether you are moving into rented office space for the first time, or you need to be reminded of the stages you need to go through in order to find the most suitable office space, we’ve put together a step-by-step guide to help kick-start your search for the perfect home for your business.
Step 1 - Give Notice
If you’re already in leased office property, you’ll need to give the required notice to your existing landlord. Dig out your office lease and in there you will find a clause relating to notice period which details how much notice needs to be given to the landlord in order leave the premises.
Step 2 - Determine your Requirements
Before you can brief a property agent, you need to have a clear idea as to the size and type of space your business needs. We’ve two handy tools and checklist for this stage of the process, the Office Space Calculator to find out how much space you’ll need, and the Office Space Checklist that has a full list of the things you ought to consider when choosing a new premises. You should have a clear idea of the following things before briefing your property agent:
- How much rent you can realistically afford
- Where you want the premises to be located (doesn’t have to be specific, but consider whether you need a central location within a city, or an out-of-town/business park location)
- Any must-have facilities that your business needs in order to operate efficiently.
Step 3 - Appoint a Commercial Property Agent
The next step is to find an agent to work with to help in your office space search. Use one that’s local to your area, and who specialises in commercial property.
Step 4 - Viewing Office Properties
Your agent will short list a range of properties for you to view that are within your budget and requirements. Don’t forget to print off the Office Space Checklist so you can evaluate ALL the facilities your business need to operate effectively.
Step 5 - Lease Negotiation
Once you have chosen several options that most suit your needs, your property agent will commence lease negotiations with the landlord to see which property offers the best deal. Don’t forget to appoint a Property Solicitor at this stage too to review the lease and act as your legal guardian throughout the process.
