The importance of planning your IT relocation in advance
Relocating your IT and phone systems quickly and smoothly is a crucial part of any office move. If your IT systems aren’t functioning and your phones aren’t ringing, you could well be losing valuable project time and missing out on business opportunities. But careful planning and proper management of your IT relocation will ensure that you are fully connected on day 1 in your new office without any downtime.
IT infrastructure
Your new office will need to have the appropriate IT infrastructure installed for your connectivity and business needs. Take a tour of your new office with an IT & Telecoms company to assess the building layout and what IT infrastructure is already in situ. You may need to install structured cabling if the office is new or has undergone a refurbishment and this may mean your fit-out may take slightly longer.
Phone Lines
Review how many phones you have and need for the future. Map out a space plan to pinpoint where your phone lines will be located and liaise with your telecom provider to order additional phone lines, or to move existing ones. Test these phone lines prior to you moving so that you know they work before you connect your phones to them.
Connectivity
New connectivity can take several months to install – depending on your requirements and the building you are moving into. Allow for at least 90 days for a new internet connection and 6-8 weeks for ISDN30 line. Advance planning is essential to avoid leaving your business high and dry without any connectivity in the new office.
Schedule time for testing
No matter how well organised you are, you still need to allow time to test equipment and phones once you have everything in situ. Setting up, configuring and testing the network can take at least a day so ensure you factor this into your moving office timeline.
